Role · Inbound sales manager

An AI sales manager for your inbound leads.

It answers web chat and email in your company’s voice, asks the questions your trade asks, records the next step and hands anything unusual to a person. You hire it, train it and review it the way you would a new employee.

On a shift

What it does with every enquiry

One enquiry, one conversation, one reply at a time. The customer is never left without an answer: when the model is slow, a holding line goes out and the conversation is flagged for you.

01

Answers every inbound message

Web chat on your site and a dedicated email address set up for your pilot. Each enquiry gets a reply in the language it was written in, from the facts in your knowledge folder.

02

Qualifies with your script

The questions a good salesperson asks in your trade, in the right order. What is missing is shown on the lead, so you see what to ask next.

03

Takes the next step

A visit, a showing, a table, a consultation: the request is recorded with the details and a person confirms the time. The manager never says “you are booked” on its own.

04

Hands over when it should

Emergencies, complaints, legal or medical questions, a customer ready to pay, or the word HUMAN. The conversation goes to a person with a summary, and the customer is told.

Managed like a hire

Hire, onboard, coach, review

Every word in the cabinet is an HR word, and each one does something specific in the system. You run the employee; the model behind it is our job.

01 · Hire

Start from a job description for your trade

HVAC, moving, real estate, salon or restaurant: each template carries the qualification script, the red lines and the targets. You interview the candidate in a sandbox where nothing reaches a real customer, then approve the hire.

job description · interview

02 · Onboard

Your site and price list become its knowledge folder

Prices, hours, service area, contacts and the rules it must never break. You approve every version. Then it sits an exam: twelve cases from your industry, each run three times, and you read which ones it passed. The pass mark includes every safety, “give me a human” and complaint case. You can release it without a passed exam; it then carries an “exam not passed” badge.

knowledge folder · exam

03 · Probation

It starts as a Trainee and earns independence

For the first 30 days every conversation is on probation. A Trainee drafts, a Junior sends, an Independent closes. The level goes up when you decide it should, and down on its own when the signals say so.

30 days · trust levels

04 · Coach

A thumbs-down with a comment becomes a lesson

Behaviour comments turn into a lesson; a wrong number turns into a proposed fix in the knowledge folder. The lesson is applied only after the manager retakes the related exam cases without losing any it passed before.

rating → lesson → re-exam

05 · Review

A weekly review with three conversations to read

Results against the targets for your trade, one conversation you rated down, one that was handed over, one picked at random. The system proposes; you decide: promote, keep, retrain, or let go. Lessons and the knowledge folder stay with your company.

weekly · promote / retrain / let go

Letting an employee go keeps its lessons and the knowledge folder with your company. A successor inherits both, marked as inherited.

Trust levels

What each level may do

A new hire starts as a Trainee. You raise the level at the weekly review or with a bonus; the system lowers it on its own when the signals below appear, and the level comes back through a re-exam or your decision.

Trainee

L·0
  • Draft every reply for your approval
  • Collect contact details and the qualification answers

If you do not answer within 3 minutes, the customer gets a holding line and the conversation is handed to you.

Junior

L·1
  • Send replies without approval
  • Quote prices from your price list
  • Record a booking request for a person to confirm

Anything outside the price list, the hours or the service area still waits for you.

Independent

L·2
  • Everything a Junior may
  • Take the details from a customer who is ready to pay and hand them to you
  • Send a follow-up inside the consent window

Payments, contracts and promises about dates stay with a person at every level.

Automatic demotion · any of these

  • — Three rule violations caught by the gates in seven days
  • — Thumbs-down on 30% of rated replies, once five are rated
  • — A handover you marked as missed
  • — A customer complaint

Channels

What works today, and what is planned

Every channel feeds the same cabinet, the same lead and the same handover. Live means it works in the product today and the Unistaff team connects it for your pilot; Planned means it is on the roadmap and nobody has it yet.

Live

Web chat on your site

The chat widget is set up on your site with you during the pilot. Its badge says it is an AI assistant; a person can take over inside the same thread.

Live

Email

A dedicated address we set up for your pilot. Enquiries sent there are answered from the same knowledge folder, with the same handover rules.

Live

Handover alerts

Every handover lands in the cabinet with a summary of the conversation so far. An email copy goes to the handover contact agreed for your pilot.

Planned

Telegram

Next on the roadmap. Until then the cabinet shows an honest “connect later”.

Planned

WhatsApp

Planned through the official Cloud API on your business account.

Planned

Instagram

Planned for direct messages on your business account.

Planned

Phone and SMS

Voice and text messages are planned as a separate desk.

Planned

Calendar and CRM

Until a calendar is connected, a booking is a request a person confirms. CRM sync is planned the same way.

Planned

Logins for your staff

During the pilot the Unistaff team opens your company’s cabinet for you. Separate logins for your team come later.

Rules it cannot break

Held by the system, at every level

These rules are enforced in code, on every reply, before it leaves. A lesson can make the manager better; it cannot switch these off.

Honesty

Says it is an AI assistant of your company

The first message of every conversation says so, in the customer’s language. Asked directly, it confirms. The word HUMAN hands the conversation to a person from the first reply.

first message · HUMAN

Prices

Quotes only what is in your price list

Every number in a reply is checked against the price list you approved. A number that is not there is replaced with “I will check with the team” and the gap is shown to you.

price list only

Bookings

Never confirms a time on its own

Until a calendar is connected, a booking is a request with the details written down. A person confirms the time, and the customer is told that is how it works.

request · confirmed by a person

Safety

Emergencies get the safety instruction, then a person

A smell of gas, a carbon monoxide alarm, water near electrics, an allergic reaction: the customer gets the safety instruction first and the conversation goes to a person at once.

emergency → instruction + person

Advice

Qualifies and passes on, gives no professional advice

No tax, legal or immigration conclusions, no medical advice, no home valuations, no mortgage opinions. It collects the facts and records a consultation request for the person licensed to answer.

no tax · legal · medical · valuation

Follow-ups

Follows up only where the customer agreed

Follow-ups stay inside the consent window set by Canadian anti-spam rules, carry your company address and stop on the word STOP. The follow-up timer is off until you switch it on.

consent window · STOP

Stop

You can pause it or stop everything

Pause one employee or press the stop button for the whole company. Customers get a fixed message and a way to leave their contact; the manager says nothing until you switch it back on.

By trade

Five job descriptions, ready to interview

Each trade has its own qualification script, its own red lines and its own exam cases. Consulting, legal and tax practices run on a sixth template we use for our own companies.

01

HVAC, plumbing, electrical

Books the visit, leaves the diagnosis to the technician.

What arrives

No heat, no cooling, repairs, maintenance, replacement quotes, membership questions.

What it asks

What is wrong and since when, how old the equipment is, where it sits and how many systems, who is home and who decides, the address and a callback number read back.

Where it stops

Gas smell, carbon monoxide alarm or water near outlets get the safety instruction and a person before anything else. Repair prices and diagnoses stay with the technician; the manager names only the diagnostic fee you approved.

What you review weekly

Share of enquiries that booked, speed to first reply, a reason recorded for every lead that did not book.

02

Moving

Qualifies before it quotes.

What arrives

Quote requests, date changes, questions during a move, claims.

What it asks

Date and flexibility, from and to with floor, elevator and parking, rooms and large items, packing and storage, local or long distance.

Where it stops

Hourly rates only from your price list, always with “rates vary by date and availability”. No final price without a written estimate. A date stays “requested” until the dispatcher confirms. Pianos, safes and multi-stop moves go to a person.

What you review weekly

Speed to first reply, quotes that became bookings, a follow-up on every open quote, zero bookings without a confirmed slot.

03

Real estate

Offers the showing first, asks the questions second.

What arrives

Listing enquiries, buyer and seller questions, rental requests, showing requests.

What it asks

For a hot lead, when they want to see the place. Then location, price range, timeline, whether they already work with an agent, pre-approval, preferred language.

Where it stops

No home valuations, no mortgage or legal advice, no opinions about neighbourhoods. Rental conversations follow Ontario human-rights rules. Listing facts come only from your material, otherwise “I will check with the agent”.

What you review weekly

Leads answered outside office hours, showings requested against showings held, qualification fields collected, zero price opinions.

04

Salons and barbershops

One question per message, prices from the list, bookings confirmed by the salon.

What arrives

New bookings, reschedules, cancellations, “how much is balayage”, group and wedding requests.

What it asks

The service and the result they want, a stylist or first available, two time windows, a mobile number for the confirmation.

Where it stops

Colour corrections and extensions get a consultation before any price. Allergies, pregnancy and skin reactions go to a person. “You are booked” only after the salon confirms.

What you review weekly

Requests answered, bookings confirmed, late cancellations, replies in the client’s language.

05

Restaurants and catering

Seven facts before any event price.

What arrives

Table requests, groups, banquet and catering enquiries, takeout questions, complaints.

What it asks

Date, time, party size, occasion, allergies as a note for the kitchen. For an event: date, guests, venue, service style, dietary needs, contact and deadline before a starting price.

Where it stops

No table confirmed before the booking system says so. No “allergen-free” promises. Complaints, incidents and licence questions go to the manager. Menu, hours and capacity only from your card.

What you review weekly

Event enquiries answered in time, enquiries that became booked events, handovers that reached a person.

Pilot · 30 days · free

One month on your web chat and email

The Unistaff team sets the pilot up with you over a call. Your site and price list become the knowledge folder, you approve it, the manager sits the exam and starts as a Trainee. At the end of the month you have thirty days of conversations, a rating on each reply and a weekly review to decide on.

What we need from you

  • 01Your website address and price list
  • 02Hours, service area and the contacts for handovers
  • 03The rules it must never break in your business
  • 04An hour for the interview and the first review

Demo companies you can talk to are our own businesses and fictional ones, marked as such. Other people’s brands never appear in a demo.

Questions owners ask

It is an AI employee with a job description, a knowledge folder, an exam, a probation period and a weekly review. It answers from your price list, follows your trade’s script and hands over when the rules say so.

Yes. The first message of every conversation says it is the AI assistant of your company, the chat badge says it throughout, and asked directly it confirms. Typing HUMAN hands the conversation to a person at once.

It says it will check with the team, records the question on the lead and shows you the gap. Every number in a reply is checked against the price list you approved before it goes out.

It records the booking request with the details and tells the customer a person will confirm the time. A live calendar connection is scoped per company; until then no time is confirmed by the manager alone.

Web chat and email. For the pilot the Unistaff team sets up the chat widget on your site with you and a dedicated email address. Telegram, WhatsApp and Instagram are planned, as are phone and SMS, calendar and CRM connections.

Rate a reply with a thumbs-down and a comment. A behaviour comment becomes a lesson; a wrong number becomes a proposed fix in the knowledge folder. The lesson is applied once the manager retakes the related exam cases without losing any.

The 30-day pilot is free. The Unistaff team sets it up with you: your site and price list become the knowledge folder, you approve it, the manager sits the exam and starts as a Trainee on your web chat and email. After the month the price is agreed on the review results: how many conversations, leads and handovers. It is one flat monthly fee per AI employee, with no per-minute meters.

Conversations, leads and the knowledge folder are stored per company and separated by company in every table. The customer’s message is treated as data, never as an instruction. The security page lists the controls that exist and the ones that do not yet.
